Staff Accountant
Summary
The Staff Accountant at MoMA PS1 is responsible for executing accounting responsibilities, implementing financial and administrative policies and procedures, and working collaboratively with staff at both MoMA PS1 and The Museum of Modern Art. The Staff Accountant performs accounting, accounts payable/receivable, banking/cash management, and other administrative duties, in a dynamic and fast-paced environment with overlapping and changing priorities and deadlines. Availability to work Saturdays during the summer months as needed.
Supervision
The Staff Accountant reports to the Senior Accountant with a dotted line to the Chief Financial Officer/Director of Finance, and additionally takes direction from the Chief Operating Officer and works in coordination with The Museum of Modern Art’s Accounting Department.
Responsibilities
Accounting (35%)
• Prepares and posts journal entries, and other adjusting entries, and performs monthly closing
• Reviews and analyzes accounts, and performs other analyses as required
• Performs monthly bank and balance sheet account reconciliations
• Performs all statutory reporting, including monthly sales tax filing, benefits reporting, and Departments of Cultural Affairs reporting
• In conjunction with the Senior Accountant, helps prepare internal financial reports
• Assists with year-end audit, preparing schedules and supplying auditors with necessary documents and information
Accounts Payable/Receivable (40%)
• Processes all invoices in prioritized and timely manner, obtaining department approval, entering and submitting vouchers, printing and sending checks, scheduling payments via wire transfer or ACH, setting up new vendors, obtaining W9 or W8 forms, and communicating with vendors regarding open payables
• Maintains and updates daily payable reports and reconciliations, ensuring correct accounts and departments are charged and correcting any errors with journal vouchers
• Manages and tracks invoicing for all accounts receivable, monthly billing for restaurant, retail store, as well as billing for special event space rental, other income, and other balances due
• In conjunction with the Controller performs year-end 1099 and 1042 reporting
Banking and Cash Management (15%)
• Counts admissions, special events, and contributions revenue and makes cash deposits to bank on a weekly basis
• Ensures adequate change in Visitor Engagement Department’s vault and replenishes small denominations
• Review and reconciles Visitor Engagement admissions reports
• Manages cash for programing for MoMA PS1’s signature events, establishing start up fund, managing cash, ensuring sufficient change throughout the day of the event, counting and securing cash at the end of the day, coordinating armored guard services, and reporting credit card sales
• Monitors and reports on daily cash position and outstanding checks, and initiates fund transfers as needed
Other Administration (10%)
• Manages adherence to calendar of finance, accounting, and other administrative deadlines
• Maintains all Finance Department documents and files, including managing database
• Completes business forms, including credit applications, tax exempt forms, and resale certificates
• Other duties and special projects reasonably related to all the above listed areas and as assigned
Qualifications
To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
• Bachelor’s degree in Finance or Accounting with related work experience
• 2 - 4 years of professional experience in progressively responsible roles in accounting and finance, ideally in museums or other cultural/nonprofit organizations
• Demonstrated ability to effectively prioritize and manage time, juggle multiple duties and tasks, and meet deadlines in a fast-paced environment
• Exceptional organizational ability, analytical skills, and attention to detail
• Excellent judgment and discretion in handling confidential and sensitive information
• Demonstrated ability to solve problems creatively and initiate action
• Ability to communicate effectively to different audiences such as staff, senior leadership and department heads
• Demonstrated ability to work independently, be proactive, and take initiative with minimal direction and guidance, balanced with skill in executing plans and tasks with precise and nuanced instructions
• Interest in and working knowledge of museums or the arts/cultural organizations in a contemporary art setting
• Extensive knowledge and proficiency with accounting software and administrative systems (e.g., Salesforce, FinancialForce)
• Superior skills in Excel, and advanced skills in other Microsoft Office suite, Word, PowerPoint, and Google apps
• Familiarity with ACME, Salesforce, Eventbrite, and Square software is preferred

Senior Registrar of Exhibitions
Summary
PS1 seeks an experienced, dynamic Senior Registrar to oversee the registration responsibilities for the planning, documentation and logistics surrounding a robust program of loans, exhibitions, and installations at MoMA PS1. The registrar monitors fine art holdings at the museum at all times and implements policies and procedures to support the exhibition program at the museum and ensure that best museum practices are maintained.
Supervision
This position reports to the Director of Program Production, works collaboratively across all museum departments including Program Production, Curatorial, External Affairs, Visitor Engagement, Security, Operations, and Administration, as well as with lenders, conservators, artists, couriers, and other artistic collaborators. The Registrar supervises and manages one Assistant Registrar as well as regularly scheduled contract Registrars. In collaboration with the Assistant Installation Manager, the Registrar guides a team of seasonal gallery installation staff.
Responsibilities
• Coordinate and manage all logistical arrangements pertaining to transportation, customs clearance, booking transports and requesting/comparing shipping estimates, packing, and courier needs for borrowed artworks.
• Develop and oversee registration budgets by creating initial estimates, processing and tracking expenses, and reporting regularly on budgets related to each exhibition.
• Issue all loan agreements and review/negotiate lender terms and requirements of agreements in collaboration with the Director of Program Production, Curator and Director of Curatorial Affairs, MoMA Legal team and insurance agent.
• Plan all install and deinstall schedules in collaboration with the Program Production team; consider staffing levels for art handler needs, contract registrar assignments, artists on-site, couriers, conservators, shipping deadlines and curatorial priorities.
• Adhere to the industry’s best practices for art handling, movement, installation, storage, condition reporting, data management, packing and shipping.
• Create and maintain all condition report documents and images.
• Work across museum departments to implement security protocols and floorplans as they pertain to art object safety; communicate and educate staff on art safety; maintain and distribute reference photos of each exhibition to share with front-line staff.
• Liaise with relevant departments to help maintain the incoming and outgoing shipping schedule for the museum.
• Function as the on-site and off-site storage liaison and maintain inventories, exhibition data, coordinate deliveries, track insurance values, and issue COIs for artwork on and off-site.
• Maintain fine art insurance policy including annual renewal, tracking insurance holdings, obtaining COIs and liaising with insurance agent for input as needed.
• Collaborate with MoMA’s CEMS team to customize templates for MoMA PS1. Experience
To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
• Minimum of 5 years relevant experience managing exhibitions with responsibility for logistical arrangements pertaining to packing, transportation, customs clearance, and courier needs, for complex exhibitions involving foreign and domestic loans.
• Attention to detail, with ability to prioritize and manage time effectively, multitask, and meet deadlines in a fast-paced environment with frequently changing deadlines.
• Experience developing, managing and overseeing registration budgets.
• Knowledge of standard museum loan and registration practices and understanding of fine arts insurance.
• Experience with art handling, transportation, and knowledge of best practices.
• Familiarity with exhibition installation and experience with management, supervision, and guidance of skilled teams.
• Strong verbal and written communication skills, effective and professional negotiating skills, strong interpersonal skills, discretion and diplomacy.
• Proficient with museum databases systems (TMS preferred) and experience working in Microsoft and Google environments.
• Ability to work collaboratively across museum departments and to understand the goals of a small curatorial and program support team in formulating and implementing an ambitious program of temporary exhibitions.
• Ability to maintain a professional and positive attitude in a fast-paced environment. Availability to respond to art incidents during off-hours.

Maintenance Technician I
Summary
Maintenance Technician I is responsible for the maintenance and repair of PS1’s facilities and equipment. Excellent skills in carpentry, plumbing, painting, electrical and HVAC repair and maintenance are required for this position.
Supervision Maintenance Technicians report to the Manager of Building Operations & Director of Building Operations
Responsibilities
Preventative Maintenance and Repair:
• Collaborate with the supervisor to plan and schedule regular and emergency maintenance
• Conduct walkthroughs to assess facility conditions and identify maintenance needs
• Provide status updates on maintenance activities and repairs
• Proactively monitor and address interior and exterior repairs, including: Plumbing issues, Electrical and lighting systems, HVAC systems
• Ensure facility safety and cleanliness through timely and effective maintenance
Maintenance Responsibilities:
• Perform routine maintenance tasks, such as minor repairs and adjustments Identify and report maintenance issues or malfunctions
• Coordinate with external maintenance service providers as needed
• Conduct painting, plastering, and heavy-duty cleaning throughout the museum, selecting appropriate tools and methods
• Respond to emergency maintenance issues, including floods, leaks, and other urgent problems
• Perform weather-related tasks such as snow/ice/water removal and install floor mats for safety
• Move and assemble furniture as needed
• Retrieve and deliver packages to designated recipients
Cleaning Duties:
• Sweep, mop, strip, buff, and wax floors
• Vacuum carpets, dust, and empty garbage and recyclables daily
• Perform ongoing cleaning throughout the shift
• Restock restrooms
Supervisory Responsibilities:
• Oversee and guide cleaning staff or temporary workers
• Conduct regular inspections to ensure cleanliness and maintenance standards
• Coordinate with other departments for scheduling and prioritization
• Manage inventory of cleaning supplies and equipment, and order as needed
• Implement and enforce cleaning and maintenance procedures
• Address performance issues and safety hazards
Event Assistance:
• Set up and break down event equipment, including staging, tables, chairs, heat lamps, garbage receptacles, event infrastructure, extension cords, and other event-specific items
• Ensure facilities are maintained in good order and cleaned as necessary before, during, and after events
Building Protocol and Procedures:
• Ensure all doors and windows are securely locked
• Follow security directions to protect patrons, staff, and artwork
• Respond promptly to fire alarms, system troubles, and supervisory issues as directed by Operations Management and/or the Assistant Director of Security & Safety, including: Assessing situations quickly, Advising on alarm locations, Addressing and resolving system alarms, Disabling and enabling alarm systems, Placing the system on test as needed
Requirements
• Minimum of three years of experience in building maintenance and repair/
• Strong knowledge of plumbing, HVAC and electrical systems, drywall and standard patching and repair techniques.
• Highly experienced in the use of hand and power tools such as table and miter saws, impact drills and other equipment necessary for building maintenance.
• Experienced in the installation and repair of window air conditioner units.
• Ability to read and interpret building drawings, floor plans and interpret miscellaneous drawing and schematics.
• Strong mathematical skills including the ability to calculate fractions, decimals, compute rates, ratios, and percentages.
• Strong problem solving and assessment skills; ability to apply best practices when managerial guidance is unavailable.
• Team player with excellent communication skills, the ability to follow directions, write memos and effectively present information to relevant parties (which can be 1:1 or in group settings).
• Proven skills with standard office productivity software including Gmail, Google Calendar.
• Weekend availability required.

Homeroom Fellow
Summary
Working within the Curatorial Department, the Homeroom Fellow will be responsible for undertaking various research initiatives, collaborative curatorial projects, and programs initiated by the Curatorial Department that pertain specifically to the Homeroom space and related programs and community partnerships.
Responsibilities
Responsibilities will also include contributing to didactic materials to be presented in Homeroom and for web materials, organizing and overseeing public events—relating to research undertaken—liaising with various participants and MoMA PS1 staff to administrate, promote, and oversee programs that range from talks and conferences to performances and workshops, and proposing and implementing methods for evaluation, including metrics and narrative reports.
Requirements
● Bachelor of Arts in Social Sciences, Liberal Arts, Art Education, Arts Administration, Studio/Media Art, or related field and two-years or more experience in a non-profit environment (voluntary or paid work is equally accepted).
● Background in research is essential, with astute working knowledge of qualitative research methods, data collection and organization, and project management.
● Knowledge of current curatorial methodologies, and an understanding and or/interest of collaborative curatorial practices rooted in community organizing protocols
● Event management experience, strong communication skills, and the ability to work collaboratively.
● Experience in community organizing
● Ability to work evening and late hours to accommodate the program schedule.
● Self-starter with ability to work in a fast-paced, team-driven environment.
